Clinical Operations Manager- ABA Clinic

Job Title: Clinic Operations Manager- ABA Clinic Department: Administrative/ Clinical FLSA Status: Non-Exempt Reports To: Clinic Director/ State Ops Director Overview: We are seeking a highly motivated and experienced Clinic Operations Manager to oversee the day-to-day operations of our Applied Behavior Analysis (ABA) clinic.
The ideal candidate will have a strong background in healthcare management, exceptional organizational skills, and a deep understanding of ABA therapy practices.
This position plays a crucial role in ensuring the efficient and effective functioning of the clinic, contributing to the overall success of our mission to provide high-quality ABA services.
Responsibilities: Operational Leadership: Oversee and manage the daily operations of the ABA clinic, ensuring compliance with regulatory standards and internal policies.
Collaborate with clinical staff, including Board Certified Behavior Analysts (BCBAs) and therapists, to optimize workflow and enhance the quality of patient care.
Meet with referral sources and build meaningful relationships with all key stakeholders.
Market the clinic and ABA services in the specific region attending marketing events and identify key strategies for marketing campaigns.
Staff Management: Recruit, train, and supervise clinic staff, including ABA therapists, administrative personnel, and support staff.
Conduct performance evaluations and provide ongoing feedback to ensure a high level of employee engagement and performance.
Provide coverage for staff who are out sick, or provide break coverage for staff.
Maintain optimal scheduling for all clinic based clients, ensuring all client schedules are completed to meet their clinical prescriptions.
Maintain client and staff schedule in the Central Reach Platform.
Communicate, holidays, closures, inclement weather, or other cancellations to all parties (families and staff).
Financial Management: Ensure all clinical budgets are maintained and all items for the clinical are present, documented and accounted for.
Monitor financial performance metrics and implement cost-effective measures to maximize operational efficiency.
Quality Assurance: Implement and maintain quality assurance protocols to ensure the delivery of effective ABA services and adherence to best practices.
Collaborate with BCBAs to review and analyze data on client progress, making recommendations for program adjustments as needed.
Audit all clinic Behavior Technician notes in accordance with company policy.
Regulatory Compliance: Stay abreast of relevant regulations, licensing requirements, and accreditation standards in the ABA field.
Ensure the clinic's compliance with all applicable laws and regulations governing healthcare services.
Facility Management: Oversee the physical infrastructure of the clinic, ensuring a safe and welcoming environment for clients and staff.
Coordinate maintenance and repairs as necessary, and manage relationships with vendors and service providers.
Client and Family Relations: Act as a point of contact for clients and their families, addressing concerns, and ensuring a positive experience with the clinic.
Implement and maintain effective communication channels to keep clients and their families informed about clinic operations and developments.
Qualifications: Bachelor's degree in healthcare administration, business management, or a related field.
Master's degree is a plus.
Previous experience in healthcare administration, preferably in an ABA or behavioral health setting.
Maintain RBT Credential Strong understanding of ABA therapy principles and practices.
Excellent leadership, communication, and interpersonal skills.
Knowledge of relevant healthcare regulations and compliance requirements.
Proven ability to manage budgets and financial resources effectively.
Experience in staff recruitment, training, and performance management.
